Team Executive Assistant

We are looking for a professional individual who is passionate about administrative work and is good at prioritising. The role includes all administrative work for weddings, events and stays and supporting the events and marketing team with diary management and booking in wedding and event recces.

We are a small, hands on team who support each other to live our values; being open and honest and fair in our actions. We challenge the business, ourselves and each other and reflect on what went well, what we can change and where we can improve. We want to keep things real, showing all aspects of the estate from the architecture and the ancient oak trees to the worms and soil. We aim to keep things simple and make sure we have time for playfulness within our roles. All of these things are work in progress and we are looking for like-minded people to join us on our journey.

This role will require you to:  

  • Manage all administration for the weddings, events, stays and retreat side of the business
  • Deal with telephone and face to face enquiries in an efficient and professional manner
  • Respond to incoming enquiries and keep the online bookings system (supercontrol) up to date
  • Ensure that all tasks are dealt with in a timely and accurate fashion
  • Drafting invoices, formatting quotes, proof reading
  • Market research
  • Updating online travel agent listings, wedding listings and the Boconnoc website
  • Liaising with suppliers on weddings and events
  • Taking meeting minutes, creating actions and following up
  • Managing diaries, setting up meetings and organising calendars
  • General administrative duties such as invoicing, printing, photocopying
  • Maintaining the office in good order
  • Ordering stock for the Boconnoc Bar
  • Booking in staff using Timekeeper
  • Supporting the Property Management team on occasions including booking in maintenance jobs, contacting contractors, liaising with tenants, updating manual and computerised records

About you

Process driven with excellent communication skills, a friendly demeanour and a can-do attitude

Highly organised, pro-active and conscientious, with strong administrative skills

Highly experienced as an EA or similar role

Ability to use initiative to ensure work is complete and prioritise

Willing to pitch in and adaptable in challenging circumstances.

Excellent written and oral communication skills. Excellent IT skills  

Can take full responsibility for assigned tasks

A genuine interest in the values and objectives of the business

Package

  • Salary is dependent on experience 
  • 28 days holiday per year including bank holidays
  • Hours – 37.5 hours per week
  • Option to join weekly circuits sessions
